MANDATE OF THE DEPARTMENT:
The Fast-Track Implementation Department (FTI) leads and coordinates support to countries, including fragile countries, sub-national locations and cities to address gaps and programme implementation challenges to reach the 2020 Global AIDS targets. The department works with countries, partners and academia to: identify and seek specific solutions to bottlenecks that impede the delivery of impactful and inclusive prevention and treatment services; provides political leadership and technical support to make a "case" for focus, programme optimization, and accelerated service delivery; support resource mobilization (international and domestic); support the integration of innovative service delivery and the use of strategic information; and support programme sustainability and transition planning.
Main tasks and Responsibilities of the Position:
Under the overall guidance of the Senior Adviser, and working independently, the incumbent provides comprehensive administrative and secretarial support to the team and is assigned all the following duties and responsibilities:

Responsible for the efficient organization and functioning of the team, including the implementation of UNAIDS administrative rules and regulations, and departmental specific procedures.

Maintains regular contact with a broad range of staff at all levels throughout the department and the Secretariat, ensuring that briefing and meeting background information and documents are obtained from relevant sources, as appropriate, in order for the team and other staff to be fully prepared in advance of key meetings and highlighting issues relevant to the team.

Coordinates regular meetings, conference calls and webinars with key partners and stakeholder, country offices, donors; prepare and distribute relevant material and meeting reports; monitor and follow up on agreed action points; advise on and support further communication and action as required.

Drafts or prepares general and administrative correspondence, check correspondence submitted by team members for higher level clearance or signature, for consistency, style, accuracy and compliance with UNAIDS rules and department specific procedures and presentation, editing or returning such to originators when necessary.

Supports administrative and management systems within the team, working closely with the other team members; develops and maintain the filing system; coordinate quarterly travel plans and responses to requests from the Senior Adviser; handles all aspects of travel arrangements for the responsible officer and other staff/ consultants.

Perform other related responsibilities as assigned, including replacing and backstopping for others.
REQUIRED QUALIFICATIONS
Education:
Essential: Post-secondary paraprofessional training or certification in work related areas.
Desirable: Higher education in the field of administration, management or a related field.

Experience:
Essential: A minimum of six years' experience in secretarial and/or administrative positions, including experience in dealing with administrative issues.

Desirable: Experience in UNAIDS and/or similar positions and familiarity with WHO/UN administrative procedures.
Languages:
Essential: Advanced knowledge of English and French.
Desirable: Knowledge of another UN official language.

Annual salary: (Net of tax)
CHF 82,401 at step 1 at single rate
