MANDATE OF THE DEPARTMENT:
The Management and Governance (MER) Branch promotes effective governance of the Joint Programme and provides overarching management functions int he areas of human resources, finance, budget, information technology and administration to enhance UNAIDS' capacity to implement its mandate and vision.

Within the MER Branch, the Information and Communication Technology Department (ICT) ensures that information technology is a strategic enabler of the vision of Getting to Zero, and contributes to the transition from managing a disease to ending an epidemic. The ICT Department makes possible new ways of collaboration, facilitates greater sharing of knowledge and provides new tools to reach out and communicate - with unprecedented reach and speed - with our key stakeholders and constituencies. To play this important role, the department is an agent of change, contributing to making UNAIDS work fast, smart and efficiently.
Main tasks and Responsibilities of the Position:
Under the direct supervision of the Chief, Innovation and Development Division (IAD), and under the operational management of day-to-day tasks of the Procurement Specialist and Administrative Assistant, the incumbent will provide administrative support to the Innovation and Development Division. The incumbent will be assigned the following administrative and secretarial functions:
- Screen incoming calls, handle telephone queries, and screen incoming emails and correspondence taking appropriate action in consultation with the Chief, IAD.
- Ensure that requests for scheduling meetings, information and interviews, invitations to meetings, etc. addressed to the teams are dealt with expeditiously.
- Draft and prepare correspondence based on instructions from the Chief, IAD or on own initiative. Edit and proof-read general correspondence before signatures by Chief, IAD.
- Handle all aspects of travel arrangements for the staff in the Division (maintain quarterly travel plans, travel arrangements, monitor travel reports and claims);
- Manage the calendar of the Chief, IAD when required;
- Track expenditures;
- Provide administrative support for the Chief, IAD
- Manage manual and electronic filing systems related to administrative issues (tendering and purchase documents);
- Provide administrative and logistics support for tendering and purchases, prepare adjudication reports and contracts and follow-up on payments;
- Handle administrative tasks for IAD staff, providing knowledgeable advice on, and executing actions related to, financial, personnel, travel and other administrative procedures;
- Organize and keep an overview of the meetings organized by the Chief, IAD and provide substantive support: book rooms, contact attendees, draft agendas, and take minutes.
- Organize meetings with internal and external partners; ensure that Chief, IAD has adequate background materials prior to these meetings.
- Perform other related duties as requested.
REQUIRED QUALIFICATIONS
Education:
Essential: Completion of secondary school education, or relevant technical or vocational training in secretarial and office systems.

Experience:
Essential: 5 years' experience in similar positions with sound knowledge of secretarial / administrative rules, regulations, procedures and practices of the UN System.
Desirable: Experience in WHO or UNAIDS in the area of administration. Experience supporting Information Technology (IT) staff and/or experience in procurement.
Languages:
Essential: Excellent knowledge of English and French.
Desirable: Knowledge of another UN official language.

Annual salary: (Net of tax)
CHF 75,084 at single rate
