MANDATE OF THE DEPARTMENT:
The Fast-Track Implementation Department leads and coordinates support to countries, including fragile countries, sub-national locations and cities to address gaps and programme implementation challenges to reach the 2020 Global AIDS targets. The department works with countries, partners and academia to: identify and seek specific solutions to bottlenecks that impede the delivery of impactful and inclusive prevention and treatment services; provides political leadership and technical support to make a "case" for focus, programme optimization, and accelerated service delivery; support resource mobilization (international and domestic); support the integration of innovative service delivery and the use of strategic information; and support programme sustainability and transition planning.
Main tasks and Responsibilities of the Position:
Under the supervision of the Responsible Officer, the incumbent provides secretarial and administrative support, working closely with others.

Screens incoming calls, emails, and correspondence and handle telephone queries, taking appropriate action. Manages the calendar of the responsible officer including the setting up of meetings and preparation of day file with background materials; and coverage arrangements in the absence of the supervisor. Drafts and prepares correspondence based on instructions or on own initiative. Edits and proof-reads general correspondence before signatures by the responsible officer. Drafts presentations in PowerPoint.

Tracks implementation rates for various budget sub-categories; undertakes regular review of un-liquidated obligations and takes action accordingly.

Prepares contracts and agreements ensuring conformity with UNAIDS administrative requirements, including through the tracking of deliverables and payments.

Manages the planning of meetings organized or supported by division/team, conference calls and video conferences. Organizes regular divisional/team meetings; including but not limited to drawing up agendas and supporting documentation; preparing notes for the record and action plans; following-up on action items and deadlines.

Supports the harmonisation of administrative and management systems within the division/team, and share experiences with other relevant divisions/teams; coordinate quarterly travel plans handles all aspects of travel arrangements for the responsible officer and other staff/ consultants.

Performs other related duties as assigned, including replacing and backstopping for others as required.
REQUIRED QUALIFICATIONS
Education:
Essential: Completion of secondary school, or relevant technical or vocational training.
Desirable: Knowledge of Excel and word programmes. ICDL (International Computer Driving Licence) Certification.

Experience:
Essential: At least five years' experience in secretarial positions, including experience in dealing with administrative issues, and some experience in the UN system, including knowledge of its rules and procedures.
Desirable: Some experience in UNAIDS or WHO.
Languages:
Essential: Advanced knowledge of English and French Knowledge of another UN official language an asset.

Annual salary: (Net of tax)
CHF 73,876 at step 1 at single rate
