MANDATE OF THE DEPARTMENT:
Provide leadership and coordinate support for an expanded UN system response to support countries towards ending the AIDS epidemic as part of the Sustainable Development Goals. To promote, support and provide guidance to national partners and the UN system in reaching Global AIDS targets by 2020 with a Fast-Track approach to rapidly scale up HIV services focused on populations and in locations most affected by the epidemic. Promote effective use of strategic information and documentation of trends on the epidemic and the response as well as provide intellectual leadership on the status of the response to HIV in the country.
Main tasks and Responsibilities of the Position:
Under the supervision of the responsible officer and working closely with other staff members, the incumbent provides clerical and secretarial support, and is assigned part of or all the following duties and responsibilities:

Support the organization of duty travel for the RST or country office staff, including but not limited to booking tickets with travel agencies; raising travel requests (TR) into the ERP for staff and external participants to meetings; when required, processing security clearance authorization; ensuring that travel claims are submitted in a timely manner and following-up on such as necessary; and/or assist other support staff in the organization of national and international workshops, seminars, visiting missions, field trips.

Monitor in-time payments for the private use of the mobile and desk telephones, as per UNAIDS rules.

Update leave records for office staff and maintains schedule for annual leave; and monitor the submission of monthly leave reports of staff holding UNAIDS contracts on a monthly basis.

Process requests for the procurement of office supplies, furniture, IT equipment and others, as well as contracts for the maintenance and repair of office equipment, obtaining quotations and bids; verifying that goods are received in good condition and ensuring that payment has been made; and update inventory records for expendable and non-expendable equipment for submission to HQ when applicable; as well as serves as alternate member of the Local Contracts Committee.

Ensure first line maintenance of UN Security Radios and mobile phones, and maintain the Office Staff composition matrix, and security logs (Country MOSS, emergency contact list, radio codes, etc.).

Maintain a Documentation Centre in the office through ordering, classifying and distributing published documents from UNAIDS Headquarters.

Perform other related duties as assigned, including provision of support to other areas of work and teams as required.
REQUIRED QUALIFICATIONS

Experience:
Essential: A minimum of three years' experience in clerical work with international institutions or governmental organizations
Desirable: Experience with the United Nations.
Languages:
Essential: Advanced level of Portuguese and intermediate level of English.
Desirable: Knowledge of another UN official language

60378 Reais at single rate
