MANDATE OF THE DEPARTMENT:
The UNAIDS Multi-country Office (MCO) for the Andean Countries provides leadership and coordinates the integration of HIV priorities into the UN Development Cooperation Frameworks of Peru-Bolivia-Colombia and Ecuador. Using an gender and rights equality lens, the MCO promotes the scale up HIV differentiated services focused on people living with HIV and key populations, including migrants and indigens; at national and local level. UNAIDS promotes effective use of strategic information to better understand and track the HIV epidemic and its trends, measures progress and support national reporting on sustainable impact of the response in Peru-Bolivia-Colombia-Ecuador. It strengthens governance, operational capacities and political advocacy of civil society and community-based organizations of people living and affected by HIV, to actively participate in multisectoral spaces, engage in health, social protection, gender equality and human rights mechanisms. Mobilizes resources, promotes accountability, and provides technical guidance as necessary to national partners and policymakers.

Main tasks and Responsibilities of the Position:
Under the supervision of the UCD and the administrative assistant the incumbent has the following duties and responsibilities: Provides clerical and administrative support to the multi-country office, including filing, photocopying, archiving, and maintaining stocks of stationery. Receives and dispatches correspondence, distributes documentation, newsletters, and publications among country partners from different sectors, and internally to UN. Keeps the UCD’s agenda updated and registers priority events in the office calendar. Monitors general office cleaning; keeps safe custody of office equipment and updates the inventory records. Monitors and pays in-time office bills, as per UNAIDS rules and policies. Schedules and supports virtual meetings using Teams, Zoom, Google Meets or other applications, and drafts note for the record. Supports the implementation and monitors UNAIDS greenhouse office emissions reduction strategy and reports to the Global Centre as required. Issues travel requests for staff and external participants to meetings; process security clearance authorization and ensures that travel claims are submitted in a timely manner. Assists with the organization of national and international workshops, seminars, field missions and trips. Supports the administrative assistant obtaining quotations and bids and with procurement of office supplies, furniture and IT equipment. Updates inventory records for expendable and non-expendable equipment and office assets for submission to the GC. Ensures maintenance of security radios and mobile phones. Keeps the office staff emergency contact list and security logs updated (MOSS, radio codes, etc.). Performs other related duties as assigned, including backstopping for others.

REQUIRED QUALIFICATIONS |
Education: Essential: - Completion of secondary school, or relevant of clerical or vocational training.
Desirable: - Demonstrated knowledge and general administrative training.

Experience:
Essential: - A minimum of three years of experience in secretarial work in an international institution, governmental organization or embassies.
Desirable: - Experience working with United Nations organizations.

Essential: - Fluent in Spanish and intermediate level of English.
Desirable: - Knowledge of additional UN official languages.
