MANDATE OF THE DEPARTMENT:
The Human Rights and Law team of the UNAIDS Secretariat: - promotes human rights-related standards in HIV policies, strategies, guidance and law; - supports rights-based responses in countries towards the achievement of Universal Access to HIV prevention, treatment, care and support, and realisation of commitments made in the Declaration of Commitment on HIV/AIDS, the 2006 Political Declaration, and human rights treaties; - Mainstreams HIV-related human rights into UN and other human rights bodies and mechanisms.

Main tasks and Responsibilities of the Position:
Under the supervision of the Senior Human Rights and Law Adviser, Prevention, Vulnerability and Rights Division, Evidence, Strategy and Results Department, the incumbent will:
Provide secretarial support to the professional staff of the Human Rights and Law (HRL) team, notably the following duties and responsibilities: 1. Assist the HRL Team in the preparation and monitoring of contracts and agreements according to instructions from professional staff, and in conformity with UNAIDS administrative and finance regulations; maintain Registry files, and process payment requests. 2. Monitor the budget of the HRL team, including planned expenditures, and track disbursements and implementation; work with Workplan Performance Monitoring colleagues in the year-end review of accounts and obligations. 3. Assist the HRL Team in organizing meetings and workshops, including the preparation of travel authorizations for temporary advisers; arranging meeting rooms, catering, interpretation services; preparing background files for meeting participants; and other logistical support. 4. Organize official travel arrangements for staff, consultants and temporary advisers, including the preparation of costing and travel arrangements; obtaining security clearances and visas as necessary; making hotel arrangements; and liaising with UNAIDS country office regarding airport transfers and other arrangements. 5. Support the organization of telephone and video conferences. 6. Prepare and/or finalise official correspondence based on instructions from professional staff, and file as appropriate; prepare routine correspondence (e.g. faxes, cover memos, compliments slips) in support of the activities of the HRL team. 7. Support the maintenance of HRL working files (paper and electronic) as appropriate; file reports, technical documents and key correspondence. 8. Format presentations and other materials for use in technical meetings, trainings and briefings. 9. Maintain a calendar of key events organised by the HRL team, or requiring the participation of team members; track requests for action by members of the HRL team and support timely follow up. 10. Respond to telephone inquiries in both English and French and refer to professional staff as appropriate. 11. Liaise with communications colleagues (Content Management Team) regarding administrative approvals and the production process for HRL publications, and monitor their distribution. 12. Perform other related duties as assigned.

Experience:
Essential: Three to four years' experience in secretarial positions Desirable: Experience in the UN System

Essential: Advanced level of English or French, with a good working knowledge of the other language. Desirable: Knowledge of another UN official language.
