MANDATE OF THE DEPARTMENT:
To manage and support all UNAIDS governance structures and constituencies; member states, Cosponsoring Organizations, NGOs and other key actors, and to protect and represent the interests of UNAIDS in UN system matters.
Main tasks and Responsibilities of the Position:
1) Secretarial and Administrative support
Working under the broad supervision of Chief, BUR, the incumbent provides secretarial and administrative support to all BUR (Board and UN Relations) staff, including drafting and preparing correspondence in French and English, proof reading and formatting documents, making appointments, filing, calendars, organizing travel and hotels, travel authorizations, visas and United Nations Laissez Passer (UNLPs); as well as receiving visitors for the unit, handling telephone and email communications with officials of UN Missions, Cosponsors and others in a mature, diplomatic and reliable manner. Within the delegated authority, deals with queries, serving as a contact point for matters concerning Permanent Missions, Cosponsors and NGOs; as necessary provides guidance to support staff within unit.

2) Support to the Organization of Meetings
Responsible for organization of meetings, "polyspan" and video conferences planning, Committee of Cosponsoring Organizations (CCO), UN Economic and Social Council (ECOSOC), Global Coordinators, Programme Coordinating Board (PCB) Bureau, NGOs, Inter-Divisional Working Group (IDWG) on Governance and Permanent Missions issues. Independently initiates invitations to participants, and provides assistance for travel, hotels, visa, etc., preparing accreditation documents and badges, monitoring meeting costs and subsequent payment requests.
Serves as Travel Officer for PCB and Global Coordinators' meetings for participants and staff, dealing with travel authorizations, per diem, hotels, support for visas, including, but not limited to, social events.

3) Other Responsibilities
- Updates reference documents and contact system lists on an ongoing basis for use by UNAIDS at large, Permanent Missions' Ambassadors and focal points as well as Cosponsors, Executive Heads, Global Coordinators, and PCB Bureau members. These lists are widely used in UNAIDS for mailing and emailing, especially for internal and external meetings.
-Maintains the Global Coordinators' forum, downloading and uploading documents for discussion and keeping the members' list up to date; drafting guidelines to assist members on use of forum.
-Maintaining, updating, document profiling, approving and staging of the Governance section of the website, including main page texts and profiling all PCB documents (for two PCB meetings per year), PCB Bureau minutes and reference lists such as the PCB member list.

4) Performs other related duties as requested.
REQUIRED QUALIFICATIONS
Education:
Essential: Completion of secondary school education; complemented by secretarial training to diploma level with computer literacy (Word, Excel, Outlook, PowerPoint, Microsoft applications, Internet Navigation, e-workspace) and familiarity with all office equipment.
Experience:
Essential: Five to seven years secretarial/administrative experience
Desirable: Experience in the UN system.
Languages:
Essential: Excellent knowledge of English and French, with the ability to read/understand, to draft correspondence, and to communicate efficiently and with courtesy in both languages.
Desirable: Knowledge of another UN official language.
Additional Information:

Further, employment with UNAIDS is subject to successful completion of the ICDL (International Computer Driving Licence). The test includes tasks on Microsoft Office software (Word, Excel, Outlook and PowerPoint, etc) required in an office environment at UNAIDS.
Annual salary: (Net of tax)
73865 CHF at single rate
