MANDATE OF THE DEPARTMENT:
The Department of Resource Management (DRM) is a strategic department supporting headquarters and field activities through the development and maintenance of high-quality, time- and cost-efficient, and predictable (a) policies, (b) services, (c) systems, and (d) processes, that are developed in the best interest of the Joint Programme, and ensure UNAIDS organizational capacity to respond promptly and effectively to the environment in which it operates. DRM drives the adoption of new tools for improved business practices within the UNAIDS Secretariat.

The Office of the Director (OOD) is responsible for the planning and implementation of the ERP Project. The World Health Organisation (WHO) developed a Global Management System (GSM) Enterprise Resource Planning (ERP) that integrates data and processes into a unified planning, budgeting and monitoring system. UNAIDS adopted WHO/GSM from its go-live in 2008, first at HQ level, and progressively at regional and country levels.
Main tasks and Responsibilities of the Position:
Under the supervision of ERP Team Leader and in close collaboration with ERP Team and other ERP focal points across UNAIDS, the key responsibilities of the ERP Training and Support Specialist are as follows:

1. Provide support to ERP users:
- Provides hands-on ERP support, gathering business requirements, researching solutions, testing as necessary and resolving user issues or implementing workarounds as appropriate.
- Proactively liaises and develops relationships with WHO GSM Team, the Global Service Center and ERP focal points in UNAIDS to ensure issues are resolved in a timely and effective manner.
- Ensures all standards and procedures are being followed and maintained according to evolving business requirements.
- Assists in ERP testing activities during upgrades and implementation of enhancements.
- Logs issues and ensures the issues management system is up-to-date and properly reflects user issues.
- Builds ERP knowledge base (in the issues management system) to aid support activities.
- Oversees the Record Management System (RMS) is updated and RMS issues are resolved on a timely basis.
- Coordinates and supervises ERP staff assisting with RMS and any other work as appropriate.
- Provides written weekly and monthly reports to ERP team leader, and Director DRM as requested, showing the status of ERP issues and resolutions.
- Escalates issues to ERP Team Leader when appropriate in a timely manner, ensuring they are followed up and solved.

2. Provide training to users on ERP system or adapted systems:
- Determines user training and learning needs in consultation with UNAIDS ERP focal points and staff; indentifies competency gaps and develops training programmes accordingly.
- Liaises with the WHO GSM teams to set-up training instance to conduct training.
- Liaises with Information Management and Technology (IMT) and other ERP focal points, in Human Resources, Administration and Finance, and ensures training events are planned and users attend training.
- Trains users with the help of other ERP focal points as appropriate.
- Develops user guides in collaboration with WHO, incorporating relevant training material from WHO, to aid training.
- Assesses impact of learning and training initiatives through regular follow-up evaluations with a view to improve training and learning activities on an on-going basis.
- Provides written monthly and quarterly reports to ERP Team Leader showing the status of users training.

3. Provide help with other project related work:
- Coordinates with and participates in ERP systems-related projects.
- Provides inputs on policy, processes and procedures to enhance the ERP system.
- Performs any other project-related duties as requested by supervisor.
REQUIRED QUALIFICATIONS
Education:
University degree in business administration, human resources, management or related field.
Desirable: Certification in project management (e.g. PMI, PRINCE2).
Competencies:
 Proven ability to deliver against predefined goals.
 Combination of strong technical awareness and outstanding people skills.
 Proven ability to work effectively and efficiently in service delivery functions.
 Proven client orientation.
 Advanced business analysis skills.
 Ability to document problems, impacts and resolution options in a clear and concise manner.
 Effective time management skills and multi-tasking capabilities.
 Good knowledge of Oracle ERP.
 Knowledge of current UNAIDS/WHO administrative rules and regulations is an asset.
Experience:
At least five years experience in administration, with at least two years of business analysis, preferably with ERP or related projects. This must include: (1) IT projects, (2) design, development and delivery of presentations and training related to administrative services, (3) communication on management and technical issues to different audiences.
Desirable: Working in an international environment. Experience in working with or in the United Nations system, development agencies, governmental or inter-governmental bodies. Knowledge of WHO's GSM/ERP modules.
Languages:
Excellent knowledge of English with excellent writing skills; working knowledge of French.
Desirable: Knowledge of another UN official language.
Annual salary: (Net of tax)
53 629 US$ at single rate
57 453 US$ with primary dependants
Post Adjustment: 90.4 % of the figure(s) on the left side. This percentage is to be considered as indicative since variations may occur each month either upwards or downwards due to currency exchange rate fluctuations or inflation.
