MANDATE OF THE DEPARTMENT:
The Executive Office provides vision, leadership and inspiration to UNAIDS, it highlights and drives emerging issues, focus areas and steers the organization, positioning it as a global leader on AIDS. The Executive Office (EXO) facilitates communication and coordination within the UNAIDS Secretariat and broader UNAIDS and serves as a reference and intelligence hub. The staff of the EXO support the Executive Director (EXD) and the two Deputy-Executive Director (DXDs) in their leadership, advocacy and management functions.
Main tasks and Responsibilities of the Position:
The Adviser to the Executive Director of UNAIDS plays a key role in assisting the EXD discharge his duties, including but not limited to: support to the EXD during his extensive travel schedule and while in Geneva; in the areas of coordination, coherence, and the quality and timeliness of inputs from all programmatic areas across the Secretariat; undertaking a series of organisational assignments, and playing a critical role and contribution to the overall effectiveness and efficiency of the integrated EXO team.
Specific duties and responsibilities include:
1. High-level support to the work of the Executive Director through
a. Ensuring the strategic planning and prioritization of the Executive Director's overseas agenda and the delivery of his objectives;
b. Coordinating and overseeing all arrangements for the Executive Director's travel with the relevant external and internal partners;
c. Ensuring preparation of quality briefing notes, memos, presentations and other substantive documentation for the EXD, with particular attention to the highest standards of relevance, accuracy, clarity and presentation to maximize the impact of his work;
d. Fostering an efficient day to day management functions of the Executive Director whilst he is travelling;
e. Guiding and advising a broad range of staff accompanying the Executive Director; and
f. Critically reviewing the quality of notes of meetings and events for efficient and timely follow-up of decisions and commitments made by the Executive Director.

2. Coordination, Communication
a. Serving as focal point for communications between the EXD and staff across the Secretariat;
b. Promoting a culture of efficient communication between the EXO, the Senior Management Team with a view to ensuring continuity on all matters;
c. Monitoring political development and advancement of programmatic issues and events, bringing such to the attention of the EXD and Director EXO when their intervention is required;
d. Acting as bridge-builder and trouble shooter to resolve bottlenecks in delivery of activities;
e. Facilitating coordination and communication between the EXO and rest of the programme; and advising managers and programme specialists on the content, presentation and timing of contributions so as to ensure that senior staff are fully involved in those issues requiring priority attention and respond to substantive requirements;
f. Participating in and contributing to a series of interdepartmental committees and/or working groups on key issues or special initiatives;
g. Dealing with relevant assignments entrusted by the Executive Director and Director of EXO.
REQUIRED QUALIFICATIONS
Education:
University degree in communication, international relations, political or social sciences or a relevant combination of academic preparation and experience. Desirable: Post-graduate training or degree in one of the above fields of expertise.
Competencies:
Thorough knowledge of UN environment and its partners at various levels. Knowledge of the various aspects of an UN Executive Office. Thorough understanding of AIDS and its implications.
Experience:
Some five to eight years' experience in national, international or multilateral environment, including experience in executive decision-making teams with a special emphasis on advocacy and political issues, complemented by organizational, coordination and experience in negotiation and consultation with senior government and civil society officials.
Desirable: Experience in similar positions in the UN or an internal institution.
Languages:
Excellent knowledge of English and French.
Desirable: Knowledge of another UN official languages.
Annual salary: (Net of tax)
61 834US$ at single rate
66 401US$ with primary dependants
Post Adjustment: 79.5 % of the figure(s) on the left side. This percentage is to be considered as indicative since variations may occur each month either upwards or downwards due to currency exchange rate fluctuations or inflation.
