MANDATE OF THE DEPARTMENT:
Under the supervision of the Human Resources Officers, the Recruitment Clerk assists in facilitating the employment process. He/she provides support in organising interviews, establishing posts and generating staffing statistics.
Main tasks and Responsibilities of the Position:
The incumbent supports specialised processes that provide product delivery to a targeted client community. He/she is the point of departure of a client servicing capacity and delivers service quality consistently and in time.
More specifically the Recruitment Clerk:
1. Provides assistance in the organization of interviews for short listed candidates. Organises the necessary logistics and travel arrangements, schedules panels, prepares and follows up on paperwork needed for the interview panel members, such as CVs, vacancy notices, list of questions etc.
2. Liaises with and assists candidates throughout the recruitment process in a timely and accurate manner.
3. Provides assistance and support in the post establishment process.
4. Provides assistance to the Head, Recruitment & Staffing as necessary.
5. Assists in circulating the signed Job Profiles for review and signature of the Human Resources Officers & ensures appropriate filing in electronic and hard copy format.
6. Assists in the preparation of submissions for the various Staffing Committees: Appointment and Promotion Committee (APC), Mobility Review Committee (MRC), and other.
7. Collaborates with relevant HR colleagues in a proactive manner to ensure seamless handover in the recruitment/induction process.
8. Assists in updating information and maintaining its accuracy and integrity in all Human Resources Database Systems.
9. Pro-actively alerts staffing team of discrepancies in staffing list.
10. Provides assistance in generating reports and the preparation of various statistics with the use of all human resources databases as necessary.
11. Maintains accurate post records, filing and reference systems in electronic and hard copy format where applicable.
12. Performs other duties as required by the supervisors.
REQUIRED QUALIFICATIONS
Education:
Completion of secondary school or equivalent.
Competencies:
Knowledge of the United Nations system and its rules and regulations. Proficient knowledge and use of standard computer software (MS Office, in particular MS Access and MS Excel). Knowledge of online recruitment software and advantage (in particular generating reports with online systems).
Experience:
A minimum of four years of work experience in a secretarial or administrative position, plus experience in support of one human resources function, preferably in post establishment. Experience in dealing with statistical data.
Languages:
Excellent knowledge of English or French and working knowledge of the other. Knowledge of other official UN languages a definite advantage.

Annual salary: (Net of tax)
67 149 CHF at single rate
