MANDATE OF THE DEPARTMENT:
Our mission is to effectively position UNAIDS and our issues with key audiences. And to create, manage and share knowledge with partners and potential partners in the AIDS response. We will work across three areas: Communications, Content management and Web platform and Production.
Main tasks and Responsibilities of the Position:
Under the supervision of the Production officer, Web platform and Production, the incumbent has the following responsibilities:
1. Organize and carry out the mailing of documents to all country offices, in particular for the biannual mass mailings, replying, verbally or in writing, to requests for information and dispatching related documents or publications as needed using the UNAIDS Contact management system and email; and processing orders received making judgments about most cost-effective and appropriate means of dispatch; and liaise with the World AIDS Campaign to assist with global mailings
2. Update distribution calendar, organize and carry out the mailing of UNAIDS Awareness Cards and keep regular contact with SHI, Copenhagen, to ensure that stock lists and mailings lists are all kept up to date
3. Ensure reception of goods and ensure that quantity delivered tallies with delivery note and order placed
4. Ensure sufficient stock and reference list of titles held to fulfill casual orders and maintain up-to-date stock list, including but not limited to tracking, verifying document display; setting up of exhibits, and providing monthly and yearly statistics on distribution of information materials to the country offices; dealing with the packaging and labeling of documents required for conferences worldwide and attend pre-conference logistics meetings when necessary.
5. Act as focal point for warehouse inventory and palette movement (forklift), as well as manage bulk stock, e.g. ensuring that stock is clearly labeled and placed into storage facilities, that storage facilities are maintained in a clean and tidy manner
6. Keep the Production Officer, informed on situation of stock and forthcoming special requirements
7. Assist with office moves as needed
8. Undertake related assignments as required by the Production officer, Web platform and Production team.
REQUIRED QUALIFICATIONS
Education:
Completion of secondary school or equivalent.
Competencies:
Knowledge of dispatch options, their relative costs and efficiencies. Ability to use common computer software applications including Microsoft Word and Excel. License to drive forklift an asset.
Experience:
Some years' experience in distribution and/or mass-mailing services, including shipping goods world-wide.
Languages:
Good knowledge of English or French, with a working knowledge of the other language.
Desirable: Knowledge of another UN official language, such as Spanish.

Annual salary: (Net of tax)
61 562 CHF at single rate
