E-MAIL ADDRESSES (these are ‘usernames’ in the e-Recruitment system)

 

A valid e-mail address is an address composed of two parts, a username and a domain name, in the following form: username@domainname.extension

 

An example is billyjoe@happycompany.com

Where billyjoe is the username given for the e-mail address, happycompany is the name of the company or entity that you are getting your e-mail address and email through, and .com is the extension.

 

The username is the name you choose to be identified with for e-mail purposes and that you have provided to the e-mail host to create your e-mail account.

 

The domain name is the internet designation for the e-mail host, which may be a private site, company, organization, or government entity. 

 

The extension can be any of many options, such as .com, .org, .fr (country codes), .biz, .info, .gov, .int, etc.

 

PASSWORDS

 

Passwords must be "strong" in format.  This means that they must contain at least 8 characters, which must be letters and numbers, and both upper and lower case.  By doing so, you will greatly decrease the possibility of malicious behavior.  Use only one unique password for each site you visit or register with.  Do not use same password for e-Recruitment as you may use for your banking or other sensitive dealings on the internet.

 

The password should be easy for you to remember but not easily guessed by others.  Never write down, relay, communicate, or keep copies of passwords for any web site.  e-Recruitment cannot be responsible for passwords being used by others in such cases. 

 

RECEIVING E-MAIL

 

Your e-mail is received by you in an "e-mail client", which can be through a web page (often yahoo or hotmail uses this method), or on your computer through a ‘client application.’  Popular software such as Outlook, Outlook Express, Thunderbird are e-mail client applications.  When setting up an account in an e-mail client, you may be asked to provide an account name or ID and a "reply to". Make sure you have entered the "reply to" correctly in your email client setting or your messages will not be delivered.  Please see your e-mail client application help or your internet provider for more information.

 

REGISTERING AT e-RecruitMENT WITH YOUR E-MAIL ADDRESS/USERNAME

 

E-mail addresses, with their domain name component, must be entered correctly or you will not receive vital communications from the erecruit system and in turn, the organization you are applying to, which depend upon e-mail for contacting you.   Very often, you may let your e-mail account go dormant (see below) or become invalid, or you may not enter the e-mail address correctly in the initial registration.  This causes problems for us, at e-Recruitment.

 

The most frequent errors are omission of characters, misspelling, and not being sure that the e-mail account is actually active.   Please check and recheck the correct spelling of your username and domain name to be sure that your full e-mail address is correctly spelled.

 

E-MAIL ACCOUNT DORMANCY OR BEING INVALID

 

E-mail hosts have policies on dormancy – which is when the e-mail account may no longer function or receive mail because you have not used it lately.

 

Many of the most popular hosts (such as yahoo, msn, hotmail) require that accounts be used frequently or the account will become inactive and require reactivation.  Often, it can be over a period of 30 days of non-use.   This poses a major problem for our site because we constantly receive “bounced message” notices to report that your e-mail is no longer valid.  In that case, we cannot contact you, should we need to for information on vacancies, selection, interviews, etc, and we may delete your account.

 

Please make sure you understand your host's policy and keep your account active if you intend to use it in the erecruit system.   We may delete accounts, at our discretion, that do not follow this guideline.   Your account may be temporarily suspended by the host for some reason. Your mailbox may be full and no additional messages can be received. It is entirely your responsibility to keep your account active.

 

SPAM AND MESSAGES NOT BEING DELIVERED

 

Spam are e-mail messages which are offensive, scandal-based, unsolicited, virus-laden, and/or provoking the recipient to take action when no action should be taken.  Spam is a major problem over the internet and may eventually result in the crippling of world-wide e-mail delivery.

 

E-mail hosts (the company or entity that your e-mail comes through to arrive to you) have various means of keeping spam out of their systems.   In some cases, these methods may be too strict and may keep e-Recruitment messages from arriving to you.

 

Some hosts have automatic spam filters and may put messages arriving with unfamiliar formats or message subjects that are spam related, into a spam filter inbox.

 

Some of the smaller hosts use “Reverse DNS Lookup” which takes additional time and is therefore not used by the large hosts.   Reverse DNS may fail for erecruit system messages and you will not receive your system e-mail messages.   While we attempt to make sure that e-mail is deliverable, a non-delivery may not be able to be changed and you may need to use an e-mail host that does not use reverse DNS lookup.

 

UN organization domain names may have unusual spam filtering, which may cause our messages to arrive in unusual locations at your e-mail client.  We cannot be responsible for this, but do ask that you check with your e-mail administrator to make sure that all e-mail from UN agencies or domains, is delivered correctly.

 

The erecruit system does not have access to the UN internal systems or passwords. You will have to see with your e-mail or IT administrator to make sure your information is correct and that e-mails will come to you correctly.
